Who we are

OpsChase (opschase.com) is an Australian software service for facilities and maintenance operations, contractor chase-to-proof, and related marketplace features. In this policy, “we”, “us” and “OpsChase” means the operator of the OpsChase service. “You” means a visitor, prospect, customer, tradie organisation user, or vendor user.

What this policy covers

This policy explains how we collect, use, store and disclose personal information when you use our website, book a demo, create an account, or use the OpsChase product. We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Personal information we collect

Depending on how you use OpsChase, we may collect:

  • Identity and contact — name, work email, phone, company, job title, industry, site count and similar details from demo, contact, register or invite forms.
  • Account and login — username, authentication data, role (operator, tradie, vendor, admin), organisation membership.
  • Operational content you put in the product — work orders, job notes, contractor details, proof photos, checklists, certificates, invoices, RFQ responses, compliance documents, and related records. Some of this may include personal information about your staff, contractors or residents/students where your industry pack requires it.
  • Usage and device — IP address, browser type, pages viewed, approximate location derived from IP, cookies and similar technologies, and product usage events (including optional A/B test assignment).
  • Support and sales — emails, call notes and messages you send us.
  • Payment — billing contact and invoice history. Card payments, if enabled, are processed by our payment provider; we do not store full card numbers on OpsChase servers.

We collect information directly from you, from your organisation’s administrators (when they invite you), and automatically when you use the site or app. If you do not provide information we need to run a feature (for example a work email for a demo), we may not be able to provide that feature.

How we use personal information

We use it to:

  • provide, operate and improve the OpsChase website and product;
  • respond to demo requests, support and sales enquiries;
  • create and manage accounts, organisations, sites and roles;
  • send transactional email (confirmations, invites, chase reminders, invoices, security notices);
  • send product or marketing messages where you have opted in or where Australian law allows — you can opt out of marketing at any time;
  • detect abuse, spam, fraud and security incidents;
  • meet legal, accounting and regulatory obligations;
  • produce de-identified or aggregated analytics that do not identify you.

Legal basis note (AU)

We collect and use personal information where it is reasonably necessary for our functions and activities, with consent where required, or as otherwise permitted under the Privacy Act.

Who we share information with

We do not sell personal information. We may disclose it to:

  • Your organisation — if you use OpsChase under a customer, tradie or vendor organisation, admins and authorised users in that organisation can see information appropriate to their role.
  • Service providers — hosting, email delivery, analytics, error monitoring, payment, and similar processors who only use the information to provide services to us (for example cloud hosting and transactional email).
  • Professional advisers and insurers — where reasonably necessary.
  • Regulators, courts or law enforcement — where required or authorised by law.
  • A buyer or successor — if we negotiate or complete a sale or restructure of our business, under appropriate confidentiality.

Some providers may store or process data outside Australia. Where we do that, we take reasonable steps so the overseas recipient does not breach the APPs in relation to the information (APP 8).

Cookies and similar tech

We use cookies and local storage for login sessions, security, preferences, and measuring how the marketing site and product perform (including lightweight A/B tests on public pages). You can block cookies in your browser; some features may not work if you do.

Direct marketing

We may use work contact details to tell you about OpsChase updates or offers where permitted. Every marketing email includes an unsubscribe path. Transactional mail (demo confirmations, invites, security, billing) is not marketing and may still be sent while your account or request is active.

Security

We use reasonable technical and organisational measures to protect personal information (access controls, encryption in transit, least-privilege admin access). No method of storage or transmission is completely secure; please use a strong unique password and tell us promptly if you suspect misuse of your account.

How long we keep information

We keep personal information for as long as needed to provide the service, meet legal and accounting duties, resolve disputes, and enforce agreements. Demo/prospect records are kept so we can follow up and, if you become a customer, link history to your organisation. When information is no longer required we take reasonable steps to destroy or de-identify it.

Access, correction and complaints

You may ask to access or correct personal information we hold about you, subject to the Privacy Act. Email [email protected]. We will respond within a reasonable time. If you are unhappy with how we handled your privacy, contact us first. You may also complain to the Office of the Australian Information Commissioner (OAIC) — oaic.gov.au.

Children

OpsChase is built for business users. We do not knowingly collect personal information from children for marketing. Industry packs (for example gyms or care) may store records your organisation lawfully holds about students or residents — that remains your organisation’s responsibility under its own policies and law.

Changes

We may update this policy from time to time. The “Last updated” date will change, and the current version will always be on opschase.com/privacy. Material changes will be highlighted on the site or by email where appropriate.

Overseas users

We are Australia-first. If you access OpsChase from outside Australia, you understand information may be processed in Australia and in other countries where our providers operate.
