Every assignment, reminder, escalation and acceptance on the work order, timestamped with the person who acted — not a mailbox search the week an assessor visits.
What they left behind as proof
Before and after photos, fire equipment and essential safety outcomes, TMV service records, test-and-tag certificates and nominated supervisor sign-off — attached to the work order and bundled in the close-out pack, not tracked in a separate spreadsheet. OpsChase does not issue AFSS, TMV tickets or tagging labels.
Whether they were allowed on site
Public liability, licence, working-with-children checks and centre induction status for the contractor who actually attended, as at the day they attended. OpsChase does not issue WWCC or Blue Cards.
Where the expiry risk sits now
Anything current, expiring or already expired on that preferred contractor, so renewal is a reminder rather than a supervision risk at drop-off.

Parent questions about who was on site for maintenance should be a retrieve from the work order, not an investigation. OpsChase is not an ACECQA-approved product — it is facilities chase and proof export for your own records.

- What is a childcare maintenance audit pack?
- A close-out export for one facilities work order or a centre-week: chase steps, accept and SLA attend timestamps, photos and certificates, and flags for insurance, licence and screening status on the day work happened. It is the handover file regional ops can attach to Quality Area 3 upkeep evidence.
- Does OpsChase replace our learning or rostering system?
- No. OpsChase is facilities maintenance and contractor chase for early learning and long day care sites. Educator rosters, CCS and child records stay in the systems you already use.
- How do WWCC and Blue Card gates work?
- Working-with-children checks and Blue Cards (names and issuing bodies vary by state) are recorded on each trade organisation with insurance and licence expiry. OpsChase does not issue screening cards; assignment and accept are blocked when a required document your organisation expects is missing or expired.
- Is this ACECQA-approved?
- No. OpsChase is not an ACECQA-approved product. Exports are assessor-ready in the sense that they package chase and proof from your work orders — your authorised assessor and governance team decide what satisfies Element 3.1.2 upkeep under the NQS.
- Can we keep our existing contractors?
- Yes. The sample packs use fictional centres and trades so you can read the format. In your account the same structure applies to your preferred book and your proof templates.
- Does OpsChase cover fire essential safety, TMV service and test-and-tag?
- Yes — as proof on the work order. Configure templates per trade so fire and essential safety outcomes, thermostatic mixing valve service records and tagging certificates attach to the job and roll into the same close-out pack before complete is allowed. OpsChase does not issue AFSS, TMV tickets or test-and-tag labels; your contractors upload what your organisation requires.
